When you open a label file, a window appears with a scrollable list of all of the labels in the file, along with four buttons: Add, Edit, Delete, and Print. In the upper left hand corner of the window, the total number of labels in the file is displayed. In the upper right hand corner, the listing option (by name, company, or zip) appears as a reminder.
You select labels by clicking on them. If only one label is selected, a miniature representation of it will appear below the list. If you select more than one, the number of labels you have selected appears there instead. In either case, clicking on the label or the number of labels selected text will scroll the list so that you can see the first label you have selected. Clicking above the double line will deselect any labels you have selected.
You add a new label to the label file by clicking on the Add button or hitting the return key. You then enter the information in the fields as appropriate. Label Manager automatically capitalizes the first letter of the name fields and city field and the entire state field, in case you’ve forgotten to.
The Key field is for your own use, you can enter any information there, it is never printed. It is generally used in searches. For instance, if you typed the word Agent in the key field of every agent’s label, you could then use the Select... and Select Next... commands to find all the agents.
The State field is meant to hold only the two-letter postal system codes for each state. If you can’t remember what the correct abbreviation for a state is, click on the work State, and a dialog box will appear listing all 50 states. Then simply select the appropriate state and click on the OK button. The State field will automatically be filled in with the correct abbreviation for that state you selected. Nifty, eh? That’s what computers are meant for!
Then click on the Save button to Save the label or Cancel to forget about it.
To edit a label, select it by clicking on it, then click on the Edit button or hit the Enter key. Or as a shortcut, simply double-click on the label. A dialog box will appear identical the that which appeared with the Add button, except that the fields are filled in with the label’s data. You use this dialog box in the same way described under the Add button, except that clicking on the Cancel button will simply leave the label the way it was before you edited it.
Clicking on the Delete button will delete any labels which you have selected. You can delete labels one at a time, or as many as you like at once. If you have the Confirm Deletes option in the Preferences... dialog checked then you will be asked for confirmation before the labels are deleted; otherwise, Label Manager will assume you know what you are doing.
Clicking on the Print button will bring up a printing dialog box which allows you to choose the number of copies of each label to print and other printing options. Set them the way you want, and click on the Ok button. A window will now appear informing you that printing is in progress, and soon the labels will be printed. The Print button prints only the labels you have selected, but if you want to print of your labels, just choose the Select All command from the EDIT menu and then click on the Print button.
If you type a key, Label Manager will find the first label that begins with that key, select it, and scroll so you can view it. If you hold down the Shift key when you type a key, Label Manager will select all labels which begin with that key and scroll so you can view them.
